AI for Tax Offices: What's Worth It Before January 2027

Guide · Updated Oct 29, 2026 · Prices checked against each vendor's own site.

See every tool on the AI tools for tax preparation offices page.

99 tools in this directory serve a tax office and 61 name tax preparers outright. The season is short and the work is repetitive at exactly the points where AI is strongest — reading documents, keying data, checking the return against the source, answering the phone in March — so this is the segment where a tool pays for itself inside one filing season or doesn't. This guide walks the tax offices page in the order a return moves through the office, with the vendor's own October 2026 prices. Buy before January; most of these need a week to set up and a season to trust.

Intake: the organizer that fills itself

TaxCaddy builds each client's document request list from the tax software, collects uploads and e-signatures and auto-sorts documents into tax categories; SafeSend One's Next Gen Gather AI does engagement letters, questionnaires and request lists in one pass, then delivers the finished return for signature and payment; both are priced by quote. SmartVault ($65/user/mo) adds SmartRequestAI, which writes the questionnaire from last year's return, and Content Snare ($35/mo) chases clients automatically with no login required. CCH Axcess Client Collaboration is the equivalent for CCH firms.

OCR into the return

This is where the money is. GruntWorx bookmarks and populates into Drake, ProSeries, Lacerte, UltraTax, CCH Axcess and GoSystem from $10/return, or $5.50 in a 250-return bundle. TXF Intelligence extracts every value from a client's documents for side-by-side review and exports to ProConnect or Drake for $30/return, falling to $20 at 100-plus, with the first three free. Juno is $50/return flat for any return, pushes into five suites and runs an AI review for mismatches before filing. SurePrep 1040SCAN and CCH ProSystem fx Scan are the enterprise versions, quoted. And the suites now do some of it themselves: Drake Tax's SmartExtract (beta) from $379.99 pay-per-return, MyTAXPrepOffice's My AI Assistant on an $895/yr unlimited-1040 license, and Intuit ProConnect Tax's SmartReturn at $93.46 per return.

Preparation and review by agent

Black Ore prepares complex 1040s and K-1s from the documents and reviews the completed return for $60/return, exporting to ATX, CCH, Drake, GoSystem, Lacerte, ProConnect and ProSeries. Filed enters source data with citations and reviews each return line by line; Soraban collects, builds source-tied workpapers and drafts the return; Thomson Reuters' Ready to Review drafts simple 1040s with every entry linked to its document; Basis and Byron run agents across the whole return. Those five are quoted after a demo, and the demo is the right test: give them last season's hardest ten returns.

The answer with a citation

Hive Tax ($79/mo), Bizora ($29.99/mo, all 50 states) and CPA Pilot (from $29/mo by message volume) answer with citations and draft the client email; Marble has a free plan and $600/user/yr. TheTaxBook WebLibrary Plus adds TaxBert to the library most tax offices already use, $429 for the first user. CCH AnswerConnect ($1,499) and CoCounsel Tax ($1,300/user/yr) are the editorial-library options, and TaxGPT (quoted) adds notice-response drafting and a return-review agent.

Planning in the off-season

TaxPlanIQ ($397/mo) bulk-uploads 1040s and lets jAIne flag the strategies; Tax Planner Pro starts at $19/mo with the Nova agent on the $49 plan; Holistiplan ($749/yr) reads the return into a tax report; Instead is a free platform with AI agent credits from $30 and runs IRS-resolution workflows too. Intuit Tax Advisor comes at no additional cost with ProConnect or Lacerte. For IRS notices, TaxRock monitors clients' IRS accounts and decodes notices (professional pricing per taxpayer by quote), and NoticeNinja reads and routes notices for firms with volume.

The phone and the front desk

Trillet ($49/mo, 150 minutes) screens new callers by service and urgency and captures the tax situation; My AI Front Desk ($99/mo) has tax-season call screening built in; Dialzara ($29/mo) routes IRS-notice calls as urgent; Integra AI Answering Service ($38/mo) is fully managed; Posh ($65/mo pay-as-you-go) and Ruby ($250/mo) put people behind the AI. Taxaroo ($99/mo) is a command center built for small tax practices — portal, organizer, e-signature, scheduling — with an AI tax assistant add-on at $49/mo.

Where to start

Run a bake-off on OCR in November: GruntWorx, TXF and Juno all let you try real returns for little or nothing, and the time saved per return is a number you can measure before the season. Then fix the phone, because a missed call in March is a missed client for the year.
